Gallery Administrator (part-time)
Transmission Gallery is looking for a part-time administrator with experience of working in the creative industries. 

Transmission is the longest-standing artist-run gallery in Scotland, established in 1983. Transmission hosts regular contemporary art exhibitions alongside a programme of workshops, events, residencies, and collaborations. Transmission is a registered charity (SC055503). Our primary funder is Creative Scotland.

The administrator role would be fixed term for one year but may be extended funding permitting. 

More about the role
Transmission has recently incorporated and requires an experienced, committed administrator to support the work of the gallery’s committee. 

The role would involve a wide range of administrative tasks carried out both independently and under the supervision of the Transmission committee. All work would be carried out from the gallery’s office on 28 King Street, Glasgow, G1 5QP. 

The role would involve 16 hours per week, typically: 1-5pm, Tues-Fri (somewhat negotiable)

Duties include
  • Administering invoice and bill payments, while ensuring accurate, comprehensive bookkeeping. 
  • Administering the gallery’s Google Workspace.
  • Administering general communications with and by the gallery via phone, email, and post. 
  • Building management including ensuring relevant testing and maintenance has been arranged and carried out. 
  • Managing orders and deliveries.
  • Regular meetings with the committee and providing administrative support for such.
  • Reporting to the committee with financial reports at regular meetings.
  • Supporting the committee with respect to:
    • planning and coordination of the gallery’s programme; 
    • maintaining and developing the website;
    • maintaining and developing the archive;
    • drafting policy and other governance documents;
    • arranging publicity for events;
    • arranging documentation of relevant gallery activities;
    • gathering data on the gallery’s activities for reporting purposes;
    • attending Trongate 103 forum meetings and related activities;
    • maintaining and developing the gallery’s inventories;
    • managing and assisting members with access to the gallery’s facilities;
    • managing invigilation and associated gallery access;
    • the gallery’s media output, including exhibition catalogues and other publications;
    • Annual General Meetings. 

Essential criteria
  • Excellent communication skills in both written and spoken English.
  • Excellent IT skills and a willingness to learn to use new software if required. 
  • A flexible approach to the role, including varying the work pattern if required by one-off events. 
  • Relevant experience of working in the creative industries. 
  • Experience of bookkeeping and financial management. 
  • Understanding of the needs of artists.
  • Experience with grant application and reporting requirements.  

Desirable criteria
  • Experience of working with: Google Workspace, MS Office, Xero, SumUp, Brevo, Instagram, WhatsApp, and Cargo.site. 
  • Familiarity with OSCR and Creative Scotland MYF reporting.
  • Familiarity with the needs of operating as a SCIO.
  • Historical or current artistic practice. 
  • Experience working in an ARI. 
  • HR experience, especially in relation to commissioning and contracts. 
  • Archival experience. 
  • Experience with exhibition installation and programming.
  • Historical or current membership of Transmission.

Salary: £15-£20 p/h depending on experience.
